HCM: Interviewer Support
To view applicants for a job for which you are the Hiring Manager or on the Interview Committee:
- Log into blu using your CalNet ID.

Once logged in, click the People tab at the top of the page to navigate to an expanded Self-service page where the Recruiting Activities menu is displayed.

In this Self-Service menu, select "Recruiting Activities" to navigate to the HCM Menu.

Click on the Review Applicants link.

If you have an active assignment as a member of an Interview Team, a list of all the job openings for which you are either the Hiring Manager or on the Interview Committee will be displayed. In the following example, there are two jobs for interview:

Note: If you do not have an active Interview Team assignment, the following message will be displayed:

If you have an Interview Assignment displayed, click on the job posting title (highlighted as an active blue link) for the job that you want to review applicants.

A Job Opening page for that posting will display with a list of applicants.

- As more applicants apply, the list will get longer. Use the triangle/arrow keys in the blue bar above the applicants to scroll through the pages. You can choose to rank the applicants as you review them. This will help you more easily those applicants remaining to be reviewed. See step 13 below for more information on this. You can sort any of the columns clicking the title at the top of the column. For example, you may want to see your applicants sorted by whether they are External (EXT) or Internal (EMP) or you may wish to sort by date so you can review only the latest applications.

To see the applications that have been submitted, either click the check box next to the left of the names of the people you want to see or use the "Select All" option at the bottom of the page.
Then go down to the bottom of the page and click the Review Applications link.

This will bring up a 2nd browser window. NOTE: If you do not see a 2nd window open up, check your pop-up blocker settings. Some departments have defaulted pop-up blockers on Internet Explorer that they can not disable. So if you still can not open the applications in this way try using a different internet browser (e.g. Firefox) or have your departmental IT person assist with the settings for Secure sites.
This 2nd window contains a message informing you that you will be getting an email containing your applicants within the next hour.

An email will arrive to your email address (generally within 5 minutes) that will provide a link to a PDF document containing the applications you have asked to view.

Click on the link in the email to open the PDF document and view the applications. NOTE: The link in the email will only be valid until 5pm on Friday. However, you can save the PDF document of the applications to review as desired.
For people who have applied via upload or textbox, you can also click on the icon in the column labelled 'Resume' to see their application (even though it is labelled 'Resume,' this should contain the person's entire application). This will not work for people who chose to fill out the Employment & Education pages as part of their application.

This printer-friendly page will list the applicants at the top, followed by a compilation of the information they provided. The system labels their applications as Resumes but it should contain anything they submitted. In most cases this means a cover letter and resume.

Applicants can provide information in one of four ways:
Type 1: Cut and Paste or Type into a textbox
Type 2: Upload attachment (may contain cover letter and resume)
Type 3: Apply without a formal resume or cover letter, entering employment experience and education history instead.
Type 4: An applicant may choose to enter text or upload and then proceed with also filling out employment and education information as well.The following information shows each type.
Type 1 - Cut and Paste into text box: Jacob Graystone
Method of Application displays as "pasted a resume" and the text of his Cover Letter and Resume are displayed below.

Type 2 - Upload Application: Marjorie Barnes
The Method of Application will display: "This applicant has uploaded a resume" and let you know what kind of an attachment it is (Word, PDF, etc.). Below that will be displayed the text in their uploaded document. If the system cannot display the attachment, you will either see a BLANK area and/or an 'Unable to retrieve' message will display. This occurs when people use incompatible attachments (Word 2007 documents saved as .docx or a text image like a scanned PDF). To view the attachment, go back to the list of applicants and click on the picture icon in the Resume column next to their name. This will open up the individual's attachment.

Note:

Type 4 - Combination - applicant uploads an attachment and also fills out the Work Experience and Education sections.
Note: The application will display both sets of information for you.

At the bottom of the printer-friendly page, the Job Posting is displayed should you need to review what was posted for applicants to see.

You have the ability to rank the applicants based on your opinion (no one else sees this!). Record your rankings and then Click the SAVE link. This functionality is useful when managing a large volume of applicants; one can review and rank applicants and then return to the list and easily see which applicants have not yet been reviewed.

Sorting & Filtering options: If you save your rankings, you can then use the "Ranking" pulldown menu to Filter your applicants by the rankings.
