Human Resources Management System

Hire vs. Hire Applicant

Hiring an Applicant Using an HRMS eRecruit Job Requisition

To advertise and recruit for a Staff position at UC Berkeley, the hiring department uses “HRMS eRecruit” to create a job requisition and post the position on jobs.berkeley.edu. External applicants and UC Berkeley employees apply for the position using HRMS eRecruit. The position may be filled by an individual who is new to UC Berkeley, or by a current or former UC Berkeley employee. When processed properly, the Hire action (or Transfer/Promotion/Demotion/Rehire) will fill and close the job requisition. If there are multiple openings on the same requisition, the position will not close until the last opening is filled.

To create a new employment record for a Staff position filling an eRecruit job requisition, choose Hire Applicant. Using this component connects the applicant with the position and will close the requisition appropriately. Do not use the Hire component or the requisition will remain open, even though you have actually filled the position. If you choose Hire Applicant but the applicant does not appear in the “Ready to Hire” list, do not proceed with the hire. Contact your departmental eRecruit Originator and make sure all the eRecruit steps have been completed first.

Non-HRMS eRecruit Positions

There are three kinds of positions at UC Berkeley that are not created in HRMS eRecruit: Academic positions, Student positions, and Staff positions for which a Waiver of Recruitment was obtained from OHR Employment Services. In these cases, there is no HRMS eRecruit job requisition to fill. This is known as a “direct hire”, and a different HRMS component is used. To create a new employment record for an Academic, Student, or Staff position with a Waiver of Recruitment, choose Hire. Use this component only when there is no eRecruit job requisition associated with the position.
