Transfers

Transferring to a New Department

Employees often transfer into jobs in other departments. (A lateral move is a Transfer, while a Promotion is a new job with a higher salary maximum and a Demotion is one with a lower salary maximum.) For the receiving department to do the transfer, they must request access to the record from the releasing department. (The same is true for Rehires, if the employee worked in a different department.)

To find out which department has access to the record, go to Home > Administer Workforce > Administer Workforce (GBL) > Inquire > Appointment Summary. Contact the department and request that they give you access to the record so you can do the transfer action. This is called “setting the alternate department ID”.

Setting Alternate Dept. ID

When an employee is leaving your department, you may be asked by the receiving department to set the alternate ID. Do not terminate the record since there is no break in service. Do not add a Transfer row. Go to Home > Administer Workforce > Administer Workforce (GBL) > Use > Set Alt. Dept. ID. Type in the Alt. Dept. ID, Requester ID, and Personnel Action. Then click Save. The updated information will display in the table at the bottom of the page.

Job Data

After the releasing department sets the alternate ID and saves the record, you will be able to add the transfer (or Promotion or Demotion) row. If the position was advertised in eRecruit, a Requisition Number field will appear on Work Location after you insert the new row and enter the Effective Date and Action. If you don’t see a requisition number field and you know there is a requisition, do not proceed with the transaction. Contact your departmental eRecruit Originator and make sure all the eRecruit steps have been completed first.

Personal Data

Once you have finished updating and saved the employee's Job Data, go to the employee's Personal Data and change the Home Department to your department, so the employee's paychecks or Direct Deposit stubs will come to your department. You are now the administrator of the employee's personal information, so you will input any changes they make in the future to Name, Address, BELI, Visa, etc.
