Non-Employee (NEE) Type Usage Guide

A

Unpaid Student Facilitator

Use only to record an unpaid UCB student facilitator for Special Studies Courses (course numbers 98 or 198). Record should be created by the Department offering the course and only where Faculty Sponsor has signed off and course approval processes have been completed

C

LBL/DOE Postdoc

Postdoctoral Fellows of Lawrence Berkeley Lab (LBL) or other Department of Energy (DOE) entities who work with UCB faculty and researchers. In addition, LBL/DOE Postdocs NEE types have no concurrent appointment or student status at Berkeley.

E

Temporary Agency Staff

Employees of temporary employment agencies assigned to work at UCB departments.

F

Committee Member

Member of a Campus committee, with no other UCB affiliation (faculty, staff, student). They are generally invited to sit on a UCB committee because of experience, expertise or to represent other constituencies.

H

Academic Case Tracking Prehire

Use only to create a record of individual Cases in the Academic Case Tracking and Case Review components of HRMS. Records should be “Completed” (Terminated) once the candidate is hired or the case is otherwise closed.

I

Independent Contractor

Individuals engaged by the University for professional services who are not “Hired” or paid a salary and therefore are not in the payroll system. Contractors bill the University directly for their services. Please note: not Contract Employees (Appointment Type 1).

L

Staff of UC/OP/Affiliated Orgs

Staff of UCOP, other UC campuses, entities jointly administer by UCB and another organization, or UCB-affiliated entities. Individuals may have administrative responsibility for UCB departments or employees or provide services to the campus community but are on the payroll of their home campus or affiliated organization.

R

Staff Retiree

For use by the Retirement Center only to record those clients who are not in an active Emeritus title. Should not be used by original or home departments of former employees.

Consultant

Consulting firm employees sent to work at UCB as part of a contract between the firm and the University. Consultants, usually work on site with UCB staff and management on specific projects of limited duration.

Employee of Berkeley Lab (LBL)

For use by Lawrence Berkeley Lab only (LBL) and valid only with the Department ID, OALBL. Indicates employees of LBL whose work requires access to UCB buildings, resources, and systems. Generally staff (not Postdoc or other researchers or academics) who work closely with UCB students, faculty and staff.

Visiting Scholar

Individuals accepted by, and enrolled with, the Visiting Scholar and Postdoc Affairs (VSPA) program office (generally PhD’s or equivalent). Their HRMS records are created and maintained by the sponsoring department but some program-related fields are entered by the VSPA office. By definition, Visiting Scholars are neither students nor employees of UC nor are they Postdoc appointees.

Volunteer

Community members engaged by Campus departments in volunteer positions. Volunteers receive no salary, stipend or other remuneration for their services from the University nor from a third-party organization.

HHMI Scholar/Researcher

Researchers/Scholars of the Howard Hughes Medical Institute (remunerated by HHMI) who carrying out research at UCB in cooperation with sponsoring Campus department and faculty.

Visiting Student Researcher

Ph.D candidates accepted by, and enrolled with, the Visiting Scholar and Postdoc Affairs (VSPA) program office to perform research at UCB for the purpose of meeting doctoral degree requirements. Their HRMS records are created and maintained by the sponsoring department but some program-related fields are entered by VSPA. These individuals are, by definition, neither students nor employees of the University of California. Degree candidates from universities that have an exchange student agreement with Berkley are not eligible (see VSPA web site for details).
