ICE: Enrolling Instructions

Interactive Course Enrollment (ICE: http://hrweb.berkeley.edu/ice/home) provides the UC Berkeley employees the ability to register online for University sponsored training courses, programs, and seminars. Most of these events are offered free of charge. Follow steps below to find out how to:

How to enroll

ICE enrollment, step 1: click on the "enroll now" button; next, from the drop-down menu select the course, then click on the "go" button.

From the ICE home page, single click on the "enroll now" button.
Next, from the drop down menu select the course title (in this example "New Employee Orientation"), then click on the "go" button image button.

ICE enrollment, step 2: click on the "enroll" button  next to the date you wish to enroll.

Next, select the date you wish to attend and click the "enroll" button next to date on which you wish to enroll.

ICE enrollment, step 3: login.

Next, fill out the log-in box by typing your current CalNet ID (your employee ID number) and your passphrase, then click the "Authenticate" button. This should be done within 5 minutes or, for the security purposes, the account will lock-out and you'll need to start again.

Check if all the information is correct and finalize your registration by clicking on the "enroll" button.

Temporary ID

If you are a new employee, or a student, you can create a temporary ID number by clicking on the "TempID log-in " link located on the bottom right side of the screen. (see the highlighted section below)


Setting up temp ID

 

Use this temporary ID number to enroll in all courses offered on ICE by following the instructions in the "Enroll"section.

NOTE: When you receive your permanent ID number, contact the sponsor(s) of the courses you have taken, and provide your permanent ID number so that all the courses can remain in your record. The name of the sponsor is located under the course's description. You can also find the list of program sponsor's contact within the ICE's Help section.

Hyphenated Last Names

 

ICE validates all employee information from the Community Profile Dataset known as CalNet Directory Services (CDS). Sometimes there are errors or discrepancies in the way that last names are listed. Check the CDS to correct any errors. You can correct or update your CDS listing at any time.

If you have a hyphenated last name such as Smith-Jones, try typing SMITHJONES or SMITH-JONES. If you have a middle name, such as Mary Jo Park, try typing JOPARK as your last name.

If you still experience logging problems, contact the sponsoring program.

Enrollment Status:

  • Open
  • Wait
  • Full

The "Status" line under the course schedule shows the current stage of enrollments. When the status line is "Open" that means that there are places available for enrolling; when it is "Wait" it means that the class roster is full and now the wait list is open to accept enrollments. The ICE system generates wait lists automatically. If someone who is enrolled in a class cancel their enrollment, ICE automatically registers and contact first person from the wait list. Only when status is "Full" it means that the roster and the wait list are full: the enrollment is closed. However, we encourage you to check ICE frequently, because if someone cancels the course may open for enrollments.

"show/cancel enrollment" button image

To SEE the record of all classes in which you have enrolled or to CANCEL your enrollment in any class in which you are currently enrolled, follow these steps:

  • Single-click on the "show/cancel enrollment" button and select time period for which you would like to see your enrollment record.
  • Choose "all enrollments" or "current enrollments" and click on the "go" button.
  • When prompted,provide your CalNet ID and passphrase (see the "Autenticate" section above)
  • Select the class you wish to cancel by clicking on the button located next to the course's title.

IMPORTANT: When you cancel your enrollment, the ICE system will automatically contact someone who is waiting and hoping for a space.

A confirmation of your cancellation will appear on the screen; print it for your records.


"search the catalog" button image

This function offers you the possibility to search the catalog by any one or combination of these four items: category, sponsoring program, course title, or the keyword. You may also add to your search inquiry "all dates", or search by specific time periods when the the particular course is offered, i.e., from December 15, 2004 to April 20, 2005.

"browse" button image

You may browse the catalog by the category, title, or the sponsoring program. Select one of these options and ICE will sort all classes within the chosen item.
