It's CalTime - New Campus Timekeeping System Launches
This fall, UC Berkeley is launching its first campus-wide, online, automated timekeeping system. CalTime is an Operational Excellence project that involved months of collaboration with timekeeping staff and other campus stakeholders.
Why CalTime?
More than 100 different timekeeping processes are currently used across campus, most relying on manual processes and paper timesheets – and considerable effort on the part of staff, supervisors and employees. An estimated 15,000 UC Berkeley employees use paper timesheets, creating a quarter-ton of paper to store every year. Supporting multiple systems across campus may also lead to inconsistences and increase the potential for error. In addition to addressing these issues, the move to CalTime will position the campus for alignment with the UC Office of the President's UCPath project, which will introduce a system-wide timekeeping system to the University of California at some point in the future.
Already used by more than 3,000 campus employees in both academic and non-academic units, CalTime will eliminate paper timesheets and offer a consistent, simple way for employees to report the hours that they work or their leave usage. CalTime Rollout Schedule
Beginning this Fall, CalTime will be introduced across campus in two phases:
-
Phase 1: Exempt employees
During the months of October and November, exempt employees who accrue leave will begin recording leave usage in the CalTime system in phased groups.
-
Phase 2: Non-exempt and student employees
Non-exempt and student employees will move to CalTime to record time worked and leave usage as appropriate in 2013.
CalTime is an automated system for employees who report time worked or accrue leave. Employees who do not accrue vacation, such as faculty, are not included in the CalTime project.
To learn more about your Department’s transition to CalTime, please see the complete rollout schedule on the CalTime website.
If you are unsure whether you are classified as an exempt or non-exempt employee, please consult with your manager or human resources representative.
Training and Support
To prepare for CalTime, online training tools – webinars, learner’s guides, and job aids for employees and supervisors - have been posted on the CalTime website. Although it is not anticipated that learning CalTime will require in-person training, employees and supervisors may choose to sign up for optional classroom or lab training through the UC Learning Center.
If you have questions or comments about CalTime, please visit the CalTime website or send an email to caltime@berkeley.edu. We are very excited about the benefits that CalTime will bring to the campus, and look forward to partnering with you in this effort.
